Terms and conditions

All fees are invoiced quarterly and are due for payment in advance, by direct debit. A deposit of £100.00, or £200.00 for Portfolio service, refundable on departure, allows clients to use Parallel’s facilities such as Wi-Fi, telephones, photocopying, room hire services and the call transfer facility as well as postage and envelopes to forward mail. A monthly account, in arrears will then be submitted for services used and will be settled by direct debit.

These services are offered for a minimum period of six months, after which notice must be given, in writing, before further quarterly invoices are raised. i.e. to arrive at our offices no later that the last day of the second month, in any quarter.

Parallel Business Centres may not be used as a Registered Address for any business.

Please note that room hire prices are for between the hours of 9.00am and 5.00pm, including set-up and break-down. Half day bookings of 4 hours apply from either 9.00am to 1.00pm or 1.00pm to 5.00pm only.

The above prices include use of intelligent video conferencing facility, mineral water, wipe board and flip charts (which will be supplied with one pad, additional pads are chargeable).

Cancellation must be received a full working day before the event; otherwise a cancellation fee of 50% will be charged. When booking more than one room – cancellations cannot be accepted and the full rent will be due – unless re-booked by another client – in which case a 10% administration charge will be made.

We have a selection of working buffet menus, which include provision of napkins, china plates and are designed to be served from the conference table. Alternatively, we have the option of a full cordon bleu menu for hot or cold food, waiter service, linen, cutlery, china and glass. These prices will be subject to a one off booking fee of £5. Our caterers would be delighted to discuss with you directly menu options, if wished.

Frequently asked questions

We are licenced by HMRC for Anti Money Laundering (AML) Regulations – therefore we need to know who our clients are before we can approve the use of our address, and you become our client.

Please note that before we establish a business relationship with you, we will insist on all ID being provided and verified before we approve your application.  We need both proof of identity and proof of address for all people listed in the account.

Proof of Identity– this is a document with a photograph – such as driving licence or passport

Proof of Address – this can be a utility bill or bank statement that has the name and address and is less than 3 months old

If your company is already incorporated, we will also require a copy of your Certificate of Incorporation.

Please note that we reserve the right to refuse your application.

Purchase of the Business Address Service gives the Client the right for a limited term, to use the address on websites, business cards, letterheads, general correspondence, as a contact address for the sole purpose of receiving and forwarding mail. You may not attach your company name to Google Maps or other similar directories.

We will not accept any mail that requires cash or payment on delivery.

Cams Hall may not be used as a Registered Address for any business.

Cams Hall reserves the right to refuse to offer service to businesses whose activities are illegal under British law, or which may be judged immoral by the management of the Company, or which may draw the negative attention of UK regulatory authorities (or the public) to the business, employees or our Address.

Businesses in the following niches are not permitted to use the Address: Adult, Alcohol, Gambling, Cryptocurrencies, Loans, Firearms, and Pharmaceutical.

The Customer authorises Cams Hall and any of its representatives to sign at their discretion on the Customer’s behalf for any deliveries addressed to the Customer’s company address.

You will be allocated an exclusive local telephone number. Your calls can either be diverted directly to a number of your choice, or we will answer with your customised greeting before transferring to you.

Your calls are answered Monday-Friday between the hours of 9am-5.30pm (excluding Bank Holidays). Outside of these hours, calls will go directly to your dedicated voicemail. You will receive an e-mail notification to advise that you have a message waiting for you.

Mail must be addressed in the format: Your Company Name and the Address, or Director Name, Company and the Address. Cams Hall will not be held responsible for delays or non-delivery of mail arising out of using a different address format.

Cams Hall accepts no liability for mail that cannot be proven to have been delivered to the Address. Proof of postage shall not constitute proof of delivery.

Standard letters are forwarded in an envelope by the postage requested by you, applicable Royal Mail fees will be charged to the client’s account.

All mail and/or deliveries are taken in entirely at your own risk and we will accept no liability or responsibility whatsoever for any losses, shortages, damages howsoever caused or any consequence arising from the receipt of items at our address.

We offer complete flexibility to our clients and allow you to collect your mail from our office in person. Whether you choose to have your mail forwarded to a chosen address or collected from our office is completely up to you.

Parcels received for cancelled or suspended accounts will be rejected or returned to sender.

Please email with details of your delivery (with tracking details) as soon as these are known to you. If we are not made aware of your delivery, then we remain at liberty to refuse your parcel.

Should you require us to arrange a courier on your behalf there will be an administration fee of £5 + vat which will be added to the courier’s fee, and this will be added to your account.

Cams Hall reserves the right to return to sender any unannounced parcel or any parcel which is, in the opinion of the Company and its staff, too large or too heavy. We do not accept any parcels weighing heavier than 20kg.

Charges apply for the receipt and storage of parcels not collected on the day of arrival.

COURIER AND THIRD-PARTY COLLECTIONS

If a client chooses to have an item collected from the office by a third party such as a courier or representative, we accept no responsibility for any liability for damage, loss, incorrect or missing items being collected. The clients agree to proceed at their own risk.

REFUSING YOUR MAIL

We may in our discretion refuse to accept delivery of any item for any reason, for example

You are breaching our conditions.

The volumes of mail are unreasonable in volume and/or unreasonably large.

Any item that is addressed to a business/company/individual not listed with us.

Cams Hall reserves the right to cancel its Services if we receive complaints from law enforcement agencies or the public or receives visits to our premises from enforcement officers, bailiff or debt collector. We further reserve the right to pass on your details to an enforcement officer, bailiff or debt collector should this occur.

Cams Hall may inform law enforcement agencies if there is cause to suspect the Address(es) is/are being used for any illegal or anti-social purpose.

Cams Hall reserves the right to cancel Services if we decide it is being abused with regard to the quantity or quality of the mail we need to process on behalf of a client.

If you use our address and the invoice is unpaid, all services to you or your company will be suspended. If you have any post not collected this will not be forwarded to you and will be returned to sender.

General Data Protection Regulation (Data Protection Act (the Act))

All client information is treated with the greatest of respect, in the strictest confidence.

The information collected during your application may also be used to verify identity which is part of our legal obligation by HMRC and is laid out above in the ID section regarding the Money Laundering Regulations. That information will be held securely on our systems. We will store the information and our verification thereof in accordance with relevant legislation.

As required by the Money laundering Act, all data will be kept for 5 years after the business relationship ends.

Prices for all services are displayed on the website. We reserve the right to change these prices from time to time without notice.

The prices displayed exclude VAT

A deposit of £100 for Mail, or £200 for the Telephone and Portfolio services, will be held by the Company and, when the service ceases, any outstanding balances will be deducted before the deposit is returned

The initial payment together with the appropriate deposit is to be paid by bank transfer or card payment. All future payments will be settled by Direct Debit.
